ScaleLab CFO ("we," "us," or "our") provides Finance OS, a financial reporting and advisory dashboard service for small and mid-sized businesses. This Privacy Policy explains what information we access, how we use and protect it, and your choices. It applies to data we access from your accounting systems, including QuickBooks Online.
With your authorization, we connect to your QuickBooks Online company through Intuit's official API and access your financial data on a read-only basis. This may include your profit and loss, balance sheet, accounts receivable and payable, aging, and general ledger transactions. We do not modify, create, or delete any data in your QuickBooks account. We also store the authorization tokens needed to maintain the connection on your behalf.
We use your financial data solely to provide the service to you: to generate financial statements, dashboards, KPIs, forecasts, and advisory insights for your business. We do not use your data for advertising, and we do not sell or rent it to anyone.
Your data is stored in a managed cloud database that encrypts data at rest at the infrastructure level, and all connections to the service use encrypted (TLS) links in transit. Access is restricted to authorized personnel and systems that need it to operate the service, and your financial data is not exposed publicly or shared with third parties except the service providers listed in Section 4.
Access to your dashboard requires per-user authentication. Each authorized user signs in with a single-use email sign-in link or with Google or Microsoft single sign-on; there is no shared password. Sign-in sessions expire automatically after a period of inactivity.
The authorization tokens that maintain your QuickBooks connection are held in the same access-restricted database, are never displayed in the dashboard or exposed publicly, and are not shared with third parties. We are working to add application-level encryption of these tokens as a further safeguard.
We do not sell, rent, or trade your information. We use a small number of trusted service providers strictly to operate the service, each bound by its own confidentiality and data protection obligations and permitted to process your data only to provide its service to us:
To prepare your reporting, we use Anthropic's artificial-intelligence service to generate written financial commentary and summaries from your financial data. Anthropic processes your data solely to return the requested commentary to us and does not use your data to train its models. The AI-generated commentary is decision-support that supplements your dashboards; it is reviewed as part of our process, does not make autonomous financial decisions, and is never used to modify your QuickBooks account.
We retain your data for as long as you use the service. You may request deletion of your data, or disconnect the QuickBooks connection, at any time. Upon termination or a deletion request, we will delete your financial data within a reasonable period, except where we are required to retain it to comply with legal obligations.
You can revoke our access to your QuickBooks data at any time from your Intuit account settings (Apps, then Manage). Revoking access stops all future data access. You may also contact us to request access to, correction of, or deletion of your information.
The service is intended for businesses and is not directed to children under 16.
We may update this Privacy Policy from time to time. The "Effective" date above reflects the most recent version. Material changes will be communicated to active clients.
